Capture Customer invoice dispute and remove the invoice manually in R12

Usually company delivers goods or services to one or more customers and raise invoices. Customer may dispute the invoice raised by the company for any good or unreasonable reason and this dispute may be due to wrong calculation, duplicate items, wrong rates, damaged product, services provided not up to the standard or not in line with agreement etc. We have to capture these disputes and escalate to our managers or approvers to deal the dispute according to company policy. All these details can be recorded and processed in Oracle.

Oracle Collections provides this facility to record the dispute against an invoice or group of invoices for any customer and escalate to approvers to approve / reject the dispute. From 12.0.7 this can be cancelled even.

How it works in Oracle collection? Collector / Agent will enter dispute against an invoice and capture the details. This dispute process will go to next person based on the approval workflow for approval. Once dispute is approved or rejected system will remove the dispute automatically. If dispute is approved, system will remove the dispute and create credit memo automatically in Oracle Receivables. This is the standard functionality.

We need to dispute the customer invoice using the standard functionality of collections but to create credit memo manually. There is a work around, if we need to dispute the transaction and not want the system to use credit memo workflow to create credit memo automatically.

To achieve this first create dispute against a transaction, record dispute details, check the results, query the customer invoice and remove the dispute manually. Now we are free to create credit memo manually based on the decision. If we agree the dispute, create credit memo. No need to create credit memo, if we don’t agree the dispute.

Say No at site level for AR: Use Oracle Approvals Management in Credit Memo Workflow profile option.

Does setting 'AR: Use Oracle Approvals Management in Credit Memo Workflow' to 'No' in 12.1.3 disable the credit memo workflow? i.e. will the dispute be created but no notifications go out for approval and no automatic credit note is approved?

No.

We have two options.

One is using the AME and another is standard/seeded workflow. If you say No at profile level, system will trigger the workflow and notification will be sent for approval. When it is approved system will create automatic credit memo.

This is true upto 12.1.1. I will check it for you in 12.1.3.

I have a query related to Disputing invoices in Collections module, and need to generate a report that shows the status of these disputes, whether they have been resolved or still in disputed state.
Also, accordingly i need to populate a date for these invoices depending on whether they have been resolved or still disputed.
If they are still in dispute, the date should show the dispute date, and if these are resolved, then the date should show the resolved date.

For this, i need to use the Collections functionality to dispute an invoice, but this shouldn't trigger automatic creation of credit memo in receivables module but it has to be created manually.
Also, i need to use the STATUS column from RA_CM_REQUESTS_ALL to figure out a way to display in my report whether the dispute is approved/rejected or still pending.

Whenever i dispute an invoice from Collections module, a notification goes to the agent assigned to that customer. As an agent, i go and approve the request for CM approval.
Still the STATUS column shows PENDING APPROVAL every single time. I need to know what all values can this STATUS column have, and also what can be a way to achieve disputing of an invoice which only should result in notifying me whether the dispute is resolved/approved/rejected or not, but not actually creating a Credit memo in receivables !!

Also, when we say that a dispute is 'RESOLVED', what exactly does that imply? Does that simply mean approving/rejecting the dispute, or that does mean creation of CM or does that mean something entirely different ??

Hi

You need to customize the credit memo workflow in order to achieve the result. Standard functionality will create (only after customization of workflow) credit memo, if dispute is approved.

When you create dispute system will show the dispute date and dispute amount. Once you approve after you customize the workflow sytem will remove the dispute.

Sytem will remove the dispute, if you reject the invoice.

Modify the workflow how you want to remove the dispute status, if approved. We have two options you can remove the dispute immediately sooner it is approved or keep the standard functionality of removing the dispute sooner you link the autocreation of credit memo against the invoice for which dispute has been created.

I have a requirement to stop the credit memo workflow (no approval process) and directly the status should be Disputed instead of Pending approval. Is it possible without customizing the standard code? If so can you please explain?

Can you please help in one of the requirement to not start the credit memo approval process when an invoice is disputed. It should simply change the status to Disputed instead of pending approval.

Can you please provide some info on how to disable the credit memo workflow when an invoice is disputed?

Is it possible without customizing the standard code?

You need to modify the workflow not to kick start. If you are concerning only about the status and not workflow, you can try for form personalization. Send me your MD050 to suggest you better.

Hi,

I have the similar requirement, after the dispute approved, it should not create the credit memo, indeed send a notification to the respective user and user will create the credit memo manually , so after some time this wf activity should close if any credit memo creates for that dispute. ,if i customized the ARCMREQ(AR Credit Memo Request Approval). can you please help me how to change the wf and if any query find out disputes and credit memos against transactions

I have an issue. When a user creates a dispute in collections, the credit memo approval request notification has sent to herself. The user wants to stop that notification. What is the way to stop this notification. Where to go and setup this.
